About the role:

The Senior IT Project Coordinator supports the Technology Change Program Manager in the successful delivery of the complex ERP transformation project, ensuring the project is completed on time, within scope, and on budget. This role oversees critical timelines, resources, and reporting, ensuring the smooth operation of the project lifecycle.

The Senior IT Project Coordinator facilitates collaboration across teams and stakeholders, proactively managing risks and ensuring alignment with program objectives. Focused on clear communication to program leadership and diligent tracking, the Senior IT Project Coordinator is vital to achieving project success and strategic goals.

Technology Stack

• Coordinate program schedules and manage stakeholders through the design, development and implementation of a large ERP system implementation program.
• Proactively identify, document and manage risks and issues, implementing targeted mitigation strategies to minimise impact and maintain forward momentum.
• Cultivate strong and influential relationships with a diverse range of internal and external stakeholders, to facilitate effective consultation to ensure a collaborative approach to development and implementation of the project.
• Provide expert guidance and mentorship to project teams and stakeholders, promoting best practices in project management, change management, and business analysis to drive project success.
• Assist to develop high quality documentation, including options papers, governance reports, project plans, and communications, presenting complex issues with clear, actionable solutions to support decision-making at the senior management and governance levels.
• Collaborate in the planning and coordination of the program by attending meetings, documenting meeting agenda, capturing attendance, minutes and actions.
• Coordinate project reporting, research, evaluation, and consultations and work closely with the program director and project manager as required ensuring accuracy with program schedules and plans, and that appropriate reporting processes are in place.

Experience

• Strong Understanding of project management, service management and governance principles.
• Proficient in program management and practices, including budgeting, financial tracking, and resource management practices under councils Project Management Framework (PMF).
• System specialised skills including Outlook, Word, Excel, Powerpoint, MS Teams, Microsoft Project, SharePoint and enterprise-based document management tools.
• Analytical Skills, with ability to investigate issues, evaluate options and provide recommendations.
• Tertiary qualification in either business administration, governance or project management or lesser formal qualifications with substantial experience in program coordination within government or similar organisational setting.
• Project administration coordination experience with demonstrated governance forums management, reporting, financial management support, risk management and presentation expertise.
• Experience in operating in an area of competing demands and priorities.
• Demonstrated experience managing administrative and financial aspects of programs or large projects, preferably within a local government context.
• Experience in vendor and supplier relationship management.
• Current valid Victorian Drivers Licence.
